WAITING LIST POLICY
Arbor Glen Community Child Care uses a waiting list to allocate spaces as they become available. Prospective parents should be assured that the waitlist is administered objectively, based on guidelines established by the Board of Directors. Admission is on a first come, first serve basis, subject to the priorities and considerations outlined below.
It is important to realize that being on the waitlist does not guarantee that you will be offered a space in the program or guarantee the timeline you require, therefore we recommend that you sign up with several other Centres as well.
Children who were enrolled in the past year but did not get a spot the following year will have readmission priority over all other children.
APPLICATION
Prospective families are required to fill out, sign and date an application form. There is no fee or deposit required to go on the waiting list. We do not accept waiting list applications via telephone. Waiting list applications will be accepted via email and/or in person.
The application requires that you specify your child's birth date and the date for required care. The indicated date when care will be required should realistically match your needs, as this is your only indication of when it is appropriate to contact you. Therefore, it is recommended that you put a specific date rather than simply "as soon as possible". You should also give consideration to your current child care arrangements and the time required to cancel them.
Families will be given a copy of the waiting list policy upon adding their child to the wait list. The policy is also posted at the childcare and is in our parent handbook.

Waitlist Guidelines for Admission to the Preschool, FDK and Grade 1-5 Program
Based on the age of the child at the time care is required, the child is assigned to the appropriate age group on the waitlist. School-aged children must be enrolled at Arbor Glen Public School. Within each of these groups, names are further grouped, in order of priority as follows:

Children currently enrolled in Arbor Glen Community Child Care (a child already enrolled in the program will have priority over others when moving from one age group to another)

Children with siblings enrolled at Arbor Glen Community Child Care
-
Children residing in the Arbor Glen Public School District
-
All other children
It is necessary to maintain a good mix among the children within each group. For example, it makes little sense to admit a child to the Preschool group who is almost old enough to move to the Before and After Kindergarten if there is not going to be a space in that room in the near future. Therefore, when a space is about to be come available, the Supervisor and staff will determine the approximate age of a child who best fits the vacancy.
The space will be offered to the child who is highest on the list, whose age is appropriate at "date of required care". In the case of siblings entering the Centre, consideration will also be given to the date of enrollment of the first child enrolled at Arbor Glen Community Child Care.
OFFER OF SPACE
As a spot becomes available, we will offer it to be the first suitable child as per the guidelines outlined previously. You may be offered a space up to four weeks in advance of your "date of required care" shown on the application form. You will be required to accept or reject the offer within three (3) business days. If you do not respond, your child will be removed from the wait list. The removal and the removal date will be noted on the wait list chart.
Every effort will be made to give as much notice as possible if a space becomes available for you. It is your obligation to keep current about your child's status on our waiting list and to keep prepared to respond to an offer within three (3) working days). You may call or visit the centre periodically to check your status/number on the waiting list. Your application is placed in our Waiting List Policy Binder. The Centre uses a wait list chart and reference number for all applications. Your status on the list will be made available to you in a manner that maintains the privacy and confidentiality of all children on the list. Parents are required to give 30 days notice of withdrawal from Arbor Glen Community Child Care, so this amount of notice is usually available for incoming parents. A registration fee (families on subsidy are exempt) and a refundable security deposit is required upon acceptance. This deposit will be applied against the last month's fee when your child leaves Arbor Glen Community Child Care if proper notice is given.
The wait list will be reviewed semi-annually. The Supervisor may email families to inquire about the family's current child care needs and/or to update the child's age etc. In an effort to keep the waiting list as current as possible, families that do not respond to inquiries within a reasonable time will be removed from the waiting list.
ENROLLMENT POLICY
The capacity of AGCCC will be as follows:

24 Preschool Children (2.4 - 3.8 years)

26 FDK Children (3.8 - 6 years)

45 School-Age Children (6 - 11 years)
All school-age children (FDK to Grade 5) must be enrolled at Arbor Glen Public School.
Preschool aged children that live outside the Arbor Glen Public School district are eligible to attend the preschool program. Acceptance into Arbor Glen Public School for kindergarten is not guaranteed. Families that live outside the school's district must apply for optional attendance.
From year-to-year Arbor Glen Public School may become CLOSED for optional attendance based on capacity. To see if Arbor Glen Public School is accepting out of area children, please visit the TDSB website - https://www.tdsb.on.ca
All registration, medical and permission forms must be completed and placed on file before the child's first day.

Immunization records must be up to date before a child will be accepted into the child care

a PAD (Pre-Authorized Debit Agreement)

A child with an Anaphylactic Allergy and/or Medical Condition (asthma, diabetes, etc.) are required to work with the Supervisor to complete an Individual Plan and all details must be in place PRIOR to the child starting in the program. (Epi-pen must be at the childcare etc.)
PART-TIME CARE
Arbor Glen Community Child Care provides part time care to families if/when space is available. We will continue to offer/provide part time care when/if no waiting list exists. In the case where a family requires full time care and a part time space is being used, the part time family will be provided 30 days' notice (consistent with our withdrawal policy) of changes in our enrollment. Families who are filing part time spaces will be given the option of taking the full-time space. If they choose not to, they will be provided with 30 days' notice of withdrawal from the program and the space will be given to the full-time parent who is waiting. The security deposit will be refunded/or applied to the last month's fee.
WITHDRAWAL FROM THE PROGRAM
In the case of a child being withdrawn from the Child Care, a minimum of 30 days' notice must be given in writing to the Supervisor. Email notice is acceptable. Please be sure to date your letter. If 30 days written notice is not received, your security deposit will be forfeited (not refunded). The security deposit will be applied against the last month's fee when your child leaves Arbor Glen Community Child Care where proper notice is given.
Centre Initiated Withdrawal from the Program
Arbor Glen Community Child Care strives to meet the needs of all children attending our program. In the event that we cannot meet the specific needs of the child, we reserve the right to withdraw the child from the program, with the provision of two week's notice of the Centre's intention to do so. Attempts will be taken to communicate concerns with the parents on an ongoing basis. The Centre will provide a verbal and written warning prior to any revocation of child care service.
Withdrawal of a child from the Centre may be required by the Board of Directors for any of the following reasons:

Non-payment of fees;

Consistent late pick up of child(ren)

The behaviour displayed by the child could not be managed by the staff, after consultation/assistance from necessary specialists;

The behaviour displayed by the child is identified as requiring assistance from an outside agency, and parents refuses such help;

**Inappropriate shouting/language/physical contact is used by parents to other party
-
Direct violations of the 'Children's Code of Conduct' and/or 'Parent Contract'
-
Any contravention to the Parent Code of Conduct and policies within the Parent Handbook
** Should the first incident be of a severe nature, the Board of Directors reserve the right to immediately revoke child care service. Such decision will be based on staff documentation of the incident and verbal and/or written submissions from the affected parties.
If a child is asked to leave or denied admission due to the centre's inability to accommodate the child's needs or family circumstances, the procedure will include:
